Description About the Opportunity We have a fantastic opportunity for an Asset & Facilities Maintenance Administrator to join our Asset & Facilities Maintenance team at our Coppabella Village located approximately two hours inland from Mackay, QLD. The main responsibilities of this role are to provide administrative support to the General Manager, Asset Facilities & Maintenance and the Assistant Asset & Facilities Maintenance Manager to ensure the smooth and efficient operation of Asset & Facilities Maintenance. Responsibilities People § To assist in ensuring human resource records, such as rosters, timesheets, annual leave requests and other records are maintained in an orderly fashion. § To handle any paperwork in connection with the recruitment of AFM staff. § To assist in communicating information about Civeo, team and company objectives and performance against them, brand standards, procedures and other relevant information in a standard format in a timely and consistent manner. § To always apply safe work practices to contribute to the safety culture at Civeo. Customers § To deliver excellent maintenance administrative services to guests and clients, in a timely manner, consistent with all relevant quality standards and service level agreements. § To be fully conversant with client contracted service levels and to reference these in maintenance allocations. § To facilitate and maintain a safe environment for our customers. Process To complete daily activity checklists as required. To raise and allocate jobs and work orders using a CMMS system, carrying out a high level of scheduling and planning to reduce travel time and costs. To undertake data entry of asset information into a CMMS system. To liaise with suppliers, trades persons and Village Management to ensure parts, equipment and stores are received in a timely manner. To provide a high level of contractor liaison. To assist in facilitating a safety culture. To assist Village management in maintaining, in existing Villages, and gaining in new Villages, all agreed health, safety, quality and environmental accreditations, including but not limited to AS/NZS 4801, OHSAS 18001, ISO 9001, ISO 22000 and HACCP. To ensure all health, safety, quality and environmental standards and legislation are strictly met, ensuring a safe environment for employees, customers, contractors and visitors, and promptly reporting any issues, potential issues or near miss events. To follow Standard Operating Procedures in all areas of AFM and to seek continuous improvements to processes and procedures. To demonstrate a professional, courteous and service based attitude. To ensure the efficient use of maintenance and other IT systems, including assisting in the training of the operations team in their use . To take part in Project Working Groups as required. Finance To assist the General Manager (AFM) in monitoring budgets on a periodic basis. To ensure all financial policies, procedures and processes are strictly implemented and adhered to, ensuring the highest standards of ethics and financial propriety, taking immediate action if any non-compliance is discovered. To facilitate random and programmed audit of AFM. To ensure efficient purchasing and procurement, liaising closely with Procurement where there are opportunities for volume discounts and improved supplier contracts. To ensure all documentation relating to OHS and food safety is completed and supplied by contractors before payment of invoices. Other § Any other required duties appropriate to the scope, nature and seniority of the role. Qualifications Professional Qualifications § Experience At least two years general office administration. Experience in a CMMS software package preferable. § A good knowledge of administrative practices and processes. Skills § Proficient with Microsoft Office software.
